Hire Agreement Football

By making a booking you are agreeing to follow the below agreement terms. Hirers should read this information carefully and ensure any questions are expressed in writing within 48 hours of the date of booking to football@stewartbykhparishcouncil.gov.uk.

  1. Conditions regarding activity and site

    1. Grass pitches are booked by the hour for matches and training purposes.
    2. Weekend pitch bookings operate on a 3 hour basis, which includes 90 minutes play time, 15 minute half time, forty five minutes change time prior and 30 minutes change time post-match.
    3. Pitches and changing accommodation must be vacated within 30 minutes of the end of the match.
    4. Failure to do so will incur a supplementary charge based upon the hourly charge for the booking which the hirer will be invoiced for.
    5. Car park must be vacated within 30 minutes of the end of the match and the access gate will be locked. Any vehicles requiring release after this time may be charged a call out fee.
    6. Stewartby & Kempston Hardwick Parish Council (SKHPC) reserves the right to decline booking requests or to limit the amount of time played during a booking under their discretion.

  2. Booking details

    1. Applications to hire must be made via the online booking portal, Scribe. Details can be found at https://stewartbykhparishcouncil.gov.uk/
    2. The application will only be confirmed following receipt of a full booking confirmation, issued via email to the Hirer.
    3. SKHPC reserves the right to refuse an application without stating the reason.
    4. SKHPC reserves the right to allocate pitches to casual users when not required by the seasonal hirer.

  3. Sub-Lettings

    1. Sub-letting of pitches or facilities is not permitted without written authorisation. Bookings are non-transferable.
    2. Any hirer to be found sub-letting pitches without written authorisation will be subject to a termination of their booking(s).
    3. Any hirer sub-letting pitches will forfeit any monetary contribution they have made towards their booking due to the loss of those pitches for usage by others.
    4. The hirer will forfeit any benefits from by being a regular hirer for all future bookings.

  4. Payments

    1. All hirers of pitches on a casual or seasonal basis must pay for their hire in advance of use.
    2. Payment for a season’s hire may be made in instalments by agreement in writing.
    3. Casual hirers must pay for their hire in one payment.
    4. Payment can be made via the online booking tool, Scribe.
    5. Where a customer is invoiced, the methods of payment will be indicated on the document.
    6. No booking can be confirmed until the required payment is received, except where agreements are in place for instalment payments.
    7. SKHPC reserves the right to amend the scale of charges at any time without prior notice.

  5. Cancellation

    1. SKHPC reserves the right to close any pitch or ground during any day or days on which it has been let.
    2. Any cancellation made within four days or more of the confirmed date, the hirer will be able to book an alternative date for the same activity using a credit. Money will not be refunded. All credits will have a pre-arranged expiry date – normally the end of the season or within 6 months.
    3. Any cancellation made within three working days or less of the confirmed date, will be non-refundable and no credit will be issued.
    4. If SKHPC cancels a booking due to pitch conditions or extreme weather, the hirer will be able to book an alternative date for the same activity using a credit for the same value as your initial purchase.
    5. The decision as to whether pitches are in a fit state of play rests ultimately with SKHPC.
      If pitches are deemed suitable, the final decision regarding if a match can play remains with the referee.
    6. SKHPC reserves the right to cancel any booking and refuse use of a pitch in cases of misconduct or illegal use.

  6. Use of Facilities

    1. The Hirer must always adhere to the following –
      1. All persons using facilities hired shall behave in a manner that does not cause injury, damage or nuisance to property, staff or other users of the park or ground. All persons shall conform to any regulations or byelaws in force with respect to the grounds and comply with any instructions they may receive from the ground staff or any other officials appointed by the Parish Council.
      2. The hirer will be responsible for wilful or negligent damage caused to the pitch, equipment, building, fences or any other of the parish council’s property by their own members, or the members of a club against whom they are playing.
      3. Hirers must ensure that they treat the facilities in a proper manner i.e. no washing of boots in showers, kicking of footballs in buildings or leaving litter e.g. drinks cans, sweet wrappers etc. No glass bottles or glass in any form must be taken into the changing facilities.
      4. Public liability insurance is compulsory for all clubs. The insurance must cover clubs for public liability claims arising from the use of the facilities, which are the subject of a hiring agreement. The minimum liability cover must be 10 million pounds.
      5. SKHPC shall not be liable for the death or injury to, or damage to, or any expenses or other liability incurred by the hirer or any person in the exercise of this agreement.
      6. Any injuries resulting in emergency response, should be reported to football@stewartbykhparishcouncil.gov.uk at your earliest convenience.
      7. No excisable liquor shall be brought into the grounds except by permission of the council in writing
      8. All hirers must comply with the parish council’s equal opportunities policy wherein they do not exercise any discrimination on the grounds of race, nationality, colour, ethnicity, age, sex, marital status, sexual orientation, religion, creed or disability.
      9. Vehicles are not permitted on grass pitches at any time, unless otherwise agreed by SKHPC in writing.
      10. Vehicles should be parked within the lines of the designated car park only.
      11. All personal belongings are left at the hirers risk and SKHPC takes no responsibility for damage or theft.
    2. A hirer failing to comply with any of these regulations and conditions will be liable to forfeit the use of the pitch, ground or facility without any adjustment of fees.
